1. Purpose of the Policy /

This page explains JLPCS's OAI-PMH metadata harvesting policy, including the purpose of metadata exposure, base endpoint information, supported request types, metadata scope, harvesting etiquette, update handling, and contact procedures.

OAI-PMH is intended to help libraries, repositories, discovery services, indexing systems, research information systems, and preservation partners harvest structured article metadata without scraping article pages or PDF files.

2. OAI-PMH Base URL / OAI-PMH

Where the journal platform's OAI-PMH function is enabled, harvesters may use the following base URL for JLPCS metadata harvesting:

https://journals.panorama-sg.com/index.php/JLPCS/oai

If the endpoint is temporarily unavailable, returns an error, or requires technical verification, harvesters should contact the JLPCS Editorial Office before assuming that metadata harvesting is unsupported.

3. What OAI-PMH Provides / OAI-PMH

OAI-PMH provides structured metadata records for harvesting by external systems. It is designed for metadata exchange and discovery support.

OAI-PMH metadata may include:

  • Article title, subtitle, and language;
  • Author names and available affiliation information;
  • Abstract and keywords where available;
  • Journal title, ISSN, volume, issue, year, and publication date;
  • DOI and article landing page URL where assigned;
  • Article type, subject information, and bibliographic description where available;
  • Copyright and open access license information where supported;
  • Records of corrections, retractions, or other publication status information where technically supported.

4. Supported Metadata Format /

Metadata Prefix Description
oai_dc OAI Dublin Core metadata for broad interoperability with repositories, discovery services, library systems, and indexing workflows.
Additional formats Additional metadata formats, if supported by the journal platform, should be verified through the ListMetadataFormats request.

5. OAI-PMH Request Examples / OAI-PMH

Metadata harvesters may use standard OAI-PMH request verbs. The examples below are provided for technical reference and may require adjustment depending on the current platform configuration.

Request Example
Identify https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=Identify
ListMetadataFormats https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=ListMetadataFormats
ListSets https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=ListSets
ListIdentifiers https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=ListIdentifiers&metadataPrefix=oai_dc
ListRecords https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=ListRecords&metadataPrefix=oai_dc
GetRecord https://journals.panorama-sg.com/index.php/JLPCS/oai?verb=GetRecord&metadataPrefix=oai_dc&identifier=RECORD_IDENTIFIER

Technical users should replace RECORD_IDENTIFIER with the actual OAI identifier returned by ListIdentifiers or ListRecords.

6. Harvesting Scope /

OAI-PMH harvesting normally covers published article metadata and related bibliographic records that are available through the journal platform.

  • Published article records may be exposed for harvesting;
  • Issue-level organization may be reflected through available sets or metadata fields where supported;
  • Updated article metadata may be exposed after correction or metadata revision;
  • Retracted or corrected records should remain identifiable where technically supported;
  • Unpublished manuscripts, peer review files, editorial correspondence, reviewer identities, and confidential materials are not exposed through OAI-PMH;
  • Full text and supplementary files should be accessed through the article page unless the platform explicitly supports file-level metadata exposure.

7. Responsible Harvesting /

JLPCS welcomes responsible metadata harvesting by legitimate scholarly, library, repository, indexing, preservation, and discovery services. Harvesters should avoid unnecessary load on the journal platform.

Harvesters should:

  • Use OAI-PMH requests instead of scraping article pages or PDF files where possible;
  • Use incremental harvesting with date parameters where supported;
  • Respect resumption tokens and platform response limits;
  • Avoid excessive repeated requests, aggressive crawling, or high-frequency automated access;
  • Cache harvested metadata responsibly and refresh records at reasonable intervals;
  • Preserve attribution, DOI, article URL, journal title, license, and publication status information;
  • Contact the editorial office before large-scale harvesting if technical issues occur.

8. Metadata Updates and Corrections /

Article metadata may be updated after publication when errors, omissions, DOI issues, author metadata changes, corrections, retractions, expressions of concern, or editorial notices are identified.

  • Corrected metadata may be reflected in OAI-PMH records after platform update;
  • Harvesters should periodically refresh previously harvested records;
  • Post-publication notices should be preserved and linked where technically supported;
  • Metadata updates should not be interpreted as changes to the scholarly content unless a formal correction, retraction, expression of concern, or editorial notice indicates such a change;
  • Authors and readers may report DOI or metadata errors to the editorial office.

9. Metadata Quality and Limitations /

JLPCS aims to maintain accurate and consistent metadata across article pages, issue records, DOI records, citation formats, and OAI-PMH records. However, external harvesting systems may process, transform, map, or display metadata differently.

  • JLPCS article pages remain the authoritative source for the published record;
  • OAI-PMH metadata may be simplified compared with article pages or DOI deposits;
  • External systems may display author names, affiliations, dates, abstracts, or references differently;
  • Harvested metadata should not be altered in ways that misrepresent the article, authors, journal, DOI, license, or publication status;
  • Errors in third-party metadata displays should be reported to the relevant third-party service and, where appropriate, to JLPCS.

10. Privacy, Ethics, and Confidentiality /

OAI-PMH exposes publication metadata only. JLPCS does not use OAI-PMH to disclose confidential editorial information, peer review materials, unpublished manuscripts, reviewer identities, private correspondence, or restricted research data.

  • Published author names and article metadata may be harvested as part of the scholarly record;
  • Reviewer identities and reviewer reports remain confidential;
  • Unpublished manuscripts and editorial decision records are not made available through OAI-PMH;
  • Confidential data, human participant data, sensitive legal records, and restricted files are not intentionally exposed through OAI-PMH;
  • If sensitive or incorrect metadata is suspected, the issue should be reported immediately to the editorial office.

11. Indexing and Discovery Disclaimer /

OAI-PMH availability supports metadata interoperability and discovery readiness. It does not itself constitute confirmation that JLPCS is included in any specific indexing database, repository, discovery service, or preservation network.

  • Third-party databases apply their own selection, harvesting, review, and update procedures;
  • Database inclusion should be verified through the database's official record;
  • OAI-PMH records should not be used to imply indexing status that has not been officially confirmed;
  • JLPCS will update relevant pages when confirmed indexing, archiving, or preservation arrangements are formally implemented;
  • Metadata harvesting is not a substitute for journal evaluation by indexing services.

12. Technical Support and Error Reporting /

Libraries, repositories, indexing services, discovery systems, authors, and readers may report OAI-PMH errors, missing records, metadata inconsistencies, or endpoint access issues to the JLPCS Editorial Office.

A report should include, where available:

  • OAI-PMH request URL or request verb used;
  • Date and time of the request;
  • Error message, XML response, screenshot, or status code where available;
  • Article title, DOI, article URL, volume, issue, or record identifier involved;
  • Description of the suspected metadata problem;
  • Name, organization, and contact information of the reporting party.
